Privacy Policy
This policy explains how Peabody Digital (we, us, our) collects, uses, stores and discloses personal information about clients, prospective clients, suppliers and anyone else we deal with. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).
Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable.
What we collect
Generally, the personal information we collect is limited to what we need to quote for, deliver and invoice our services:
- names, email addresses, phone numbers and postal or business addresses
- business details, such as a business name or ABN
- correspondence, including emails and notes from calls and meetings
- billing and payment records
- details needed to build or host a website, such as login details for domain registrars or other services you ask us to manage
If you don’t give us information we ask for, we may not be able to provide the service.
How we collect it
We collect personal information directly from you: when you email or call us, meet with us, accept a proposal, or sign up for a hosting or care plan. Occasionally we receive it from someone else, such as a colleague of yours who refers you to us or a supplier working on your project.
This website
This website has no contact form, no analytics and no advertising trackers, and it does not set cookies. If you email us from a link on the site, we receive your email like any other.
The site is hosted by Cloudflare, which records technical information about each request, such as your IP address, browser type and the page requested, to deliver the site and protect it from abuse. We use those logs only to keep the site running.
How we use it
We use personal information to:
- respond to enquiries and prepare quotes
- design, build, host and maintain websites
- send invoices and manage payments
- contact you about your services, including maintenance, security issues and changes to our terms
- meet our legal, tax and accounting obligations
We don’t sell personal information, and we don’t use it for marketing to you beyond telling you about the services you have with us.
Who we disclose it to
We disclose personal information only where it’s needed to provide our services or meet legal obligations, for example to:
- service providers who help us run the business, such as hosting, email, domain registration, payment and accounting providers
- contractors working on your project, such as a photographer or copywriter included in your quote
- our accountant or professional advisers
- anyone you have asked or authorised us to share it with
- government authorities, where the law requires it
Overseas disclosure
Some of our service providers, including hosting and email providers, store or process data outside Australia, including in the United States. Where that happens, we take reasonable steps to make sure the provider handles personal information consistently with the Australian Privacy Principles.
Your clients’ and visitors’ information
When we host or maintain your website, it may hold personal information about your own customers or visitors, such as form submissions, orders or account details. That information belongs to you, and you are responsible for it under your own privacy obligations. We access it only as needed to host, maintain, back up and secure your site, or when you ask us to.
Storage and security
We keep personal information in password-protected systems and accounts, and take reasonable steps to protect it from misuse, loss, and unauthorised access or disclosure. We keep it for as long as we need it for the purposes above, and for as long as the law requires us to keep business records. After that, we delete it or de-identify it.
Access and correction
You can ask us to see the personal information we hold about you, or to correct it. Email us and we will respond within 30 days. If we can’t give you access, for example because the law prevents it, we’ll explain why.
Complaints
If you have a concern about how we’ve handled your personal information, email us first and we will try to resolve it. If you’re not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
